The Force a full download option in Sales Presenter should not be needed during normal day to day use. It is there for times when you change certain settings in your cloud account, such as when you change the rep restrictions for a particular iPad. In all instances where you need to use this option you will be informed.
The Download from cloud option does just that - it downloads the latest data, from your cloud account, to the iPad. It has nothing to do with any data in your back-office system.
To refresh the cloud data from a back-office system you would need to 1) extract the data from the back-office, 2) upload the data to your cloud account, then 3) run the Process files option in your cloud account to prepare your uploaded data for Sales Presenter. More information can be found in the Getting started with your data guide in the downloads section of this website.
Since you're using our X~Suite software as your back-office system you would use the CloudSync module within X~Suite to automatically perform 1, 2 and 3 above whenever you wish to refresh your cloud data. I believe you have this set up as a scheduled task which runs overnight. Therefore any changes you make to your data in X~Suite would find its way to your cloud account overnight and therefore be available to download to your iPad after that.
