Email Notifications

Hello,

We are not receiving email notifications when new orders are uploaded to the cloud from reps devices. Please could you advise on how we get this to work? I've looked at the configuration of our account and have popped our email address in all boxes regarding notifications. The only notifications we are receiving are when a new device needs to be authorised and when we get replies on this forum.

There are three email notification options regarding uploaded orders, each pertaining to a different Order Status. These options can all be found in the Account Settings section of your cloud account:

Provide an email address to be notified whenever an order that is uploaded to your cloud account has been put on hold. Leave this setting blank if you do not wish to be notified. This affects both SalesPresenter and CloudCart.

Provide an email address to be notified whenever an order that is uploaded to your cloud account is ready to be downloaded into your back-office system. Leave this setting blank if you do not wish to be notified. This affects both SalesPresenter and CloudCart.

Provide an email address to be notified whenever an order has been marked as exported in your cloud account (this means that it has been downloaded either via our X~Suite or CloudSync applications or via a third party interface. Leave this setting blank if you do not wish to be notified.

The second and third options affect orders with the Order Status of "Ready to Download" and "Downloaded OK" respectively. These Order Status' are only applicable to orders uploaded from devices with the Order Download module, which allows those orders to be downloaded from the cloud in a variety of ways.

Without the Order Download module, such as in your case, you can still get a notification email whenever an order is uploaded to your cloud account by using the first option listed above which sends an email whenever an order reaches the cloud and is put on hold. However, in order for this to work you would want to switch ON the following option (also found in the Account Settings section of your cloud account):

Tick this box if you want to put all orders uploaded from SalesPresenter on hold in the cloud account.

Thank you. Our email address is in all of those options and I have ticked the box for Account Settings option you have mentioned but we are still not getting notifications when new orders have been uploaded. I also did not get a notification email about your reply either - is there a problem with your system?

We will check the orders periodically anyway but the email notifications are essential as we don't want to keep customers waiting for their orders. Please could you have a look and advise?

We're still looking into the on hold orders notification, and will update you on this shortly.

The notifications from the forum however are handled completely separately from any cloud notifications. In order to be notified of a forum response, you'd want to utilise the "Subscribe to this topic" option at the bottom of the thread.

Unfortunately it seems that my earlier post wasn't entirely accurate.

Though the configuration for the cloud to put orders on hold is available, the only orders that will be affected by this are those that have come from devices with the Order Download module assigned to them. The ability to put orders on hold was designed for the purpose of temporarily stopping orders being downloaded from the cloud through automated processes until they have been manually taken off hold, therefore orders with no ability to be automatically downloaded will not be put on hold (and will subsequently not trigger the email notification).

That means that currently there isn't a way of receiving notifications from the cloud when orders without having the Order Download module assigned to your devices.

Your SalesPresenter users do have the ability to email the order acknowledgements directly from their devices to your customers, and you can have your email address automatically CC'd into those emails by filling in the "Your email address" option in the Configuration > Order Acknowledgement section of your cloud account.
