Changes to the cloud functionality/behaviour

1. The system no longer allows a second instance of the Process Files process to be initiated if it is already running.

This affects both the Process Files option in the cloud account and the ProcessFiles web service method.

In addition, a full minute needs to have passed after a previous process has completed before it can be initiated again.

2. The system now detects when an iPad is attempting to upload the exact same order twice (please note: copied orders are not regarded as the same order).

This copes with situations where an order has successfully been uploaded to the cloud account but something went wrong before the order could be marked as exported within Sales Presenter. Upon further attempts to upload the same order, the system will no longer create duplicate entries for the order in the cloud account.

Home section

The Change Your Password option has now been renamed Account Settings. Within this option you can update various account details such as your email address, company name and password.

Field Mappings section

A StkQty2 field has been added to the field mappings section for the product data. This figure is combined with StkQty to display an overall stock figure in Sales Presenter.

Upload Files section

This now copes with the uploading of files containing multiple "dots" (e.g. abc.test.jpg).

This screen now displays the total number of records held against each type of data file in your cloud account.

Field Mappings section

A Maximum Length column has been added to this screen.

By default, the system maps the entire contents of a field from your uploaded data.

You can now optionally configure the field mappings to only map a certain number of characters of a field from your uploaded data.

By setting the maximum length of a field to a non-zero value the system will only map that number of characters from the uploaded data, truncating the field if necessary (for example, you may wish to map only the first 30 characters of an uploaded description field regardless of its original length).

Leaving this value set to zero prevents the truncation of your data.

Any changes you make on this screen will only take effect the next time you run the Process Files option.

Upload Files section

You can now upload PDF documents and product movie clips (in the M4V format) to your cloud account. These are accessed within Sales Presenter via the product details screen. Files need to follow the same file-naming convention as used for images in order for them to automatically be associated with a product.

Orders section

A Download option is now available for sales orders that can be retrieved from your cloud account (i.e. for orders that can be downloaded to your back-office system). This lets you download a copy of the order in either CSV or XML format (as set up in the account settings screen).

Account Settings section

You can now specify whether orders are downloaded to your back-office system in either product code or order entry sequence. Orders created with Sales Presenter version 1.1.7 or earlier will always appear in product code sequence.

You can select the output file format to be used when manually downloading order data from your cloud account via the Orders section. Available formats are documented in the Blue Alligator Cloud Web Service technical reference manual that can be found in the Downloads section of this site.

You can now specify the delimiter to be used (default: comma symbol) when retrieving sales orders from your cloud account in the CSV format.

Email notifications can now be automatically triggered for various events, such as:

- when an order uploaded to your cloud account has been put on hold since it's for a new customer account.

- when an order uploaded to your cloud account is ready to be downloaded into your back-office system.

- when an order uploaded to your cloud account has been marked as exported (i.e. has been retrieved either via our X~Suite or CloudSync applications or via a third party interface).

- when a new device has been registered against your cloud account. Your system administrator needs to "authorise" the device before it can download data from your cloud account.

- when an automated "Process Files" process has finished. The Process Files option can be automated either via our X~Suite or CloudSync applications or via a third party interface.

Home section

Options are now available to manage PDF and movie clips that have been uploaded to your cloud account.

Manage Data Files section

You can now download a copy of any CSV file that has been uploaded to your cloud account. This can be useful to double-check the contents of files that have generated and uploaded automatically by your back-office system.

Field Mappings section

Additional fields (such as an email address) can now be mapped for the Reps data file. The Import File Formats document that can be found within the Downloads section of this site details the latest file format specifications.

Field Mappings section

A Translation setting has been added. The system can now automatically perform some optional translations on individual fields within your data during the Process Files operation.

Available translations are:

- Convert to upper-case. Letters within the field are converted to upper-case.

- Convert to lower-case. Letters within the field are converted to lower-case.

- Add barcode checkdigit. The field is assumed to contain a barcode value without a checkdigit suffix. The system will calculate the checkdigit and append this to your barcode value.

By default, no translations are made to your data.

Manage Data Files section

A column has been added to show against each data file which files have been successfully processed via the Process Files option.

The processed flag for a data file will be reset whenever a replacement data file has been uploaded to your cloud account (where the file contents have actually changed since the last time the file was uploaded) or any changes have been made on the field mappings screen for that file. Under these circumstances the Process Files option would need to be run again before any changes to the data/mappings/default values will take effect.

For files that do not get flagged as processed after the Process Files option has been performed, this may indicate an issue with that particular data file.

Home screen

The device list now shows separate timestamps for when your devices last downloaded data from the cloud or uploaded an order to the cloud.

Manage Files section

When managing image files, movie files or PDF documents there is now a "Refresh Modified Time" option which can be used to force individual images/movies/PDFs to be re-downloaded to all devices during their next download cycles.

Cloud Reports section

A "Missing Images" report has been added. Users of the optional Cloud Reports module can use this new report to check for products in their cloud account that don't have a corresponding image uploaded.

Field Mappings section

A Start Offset column has been added to this screen.

By default, the system maps the entire contents of a field from your uploaded data.

You can now optionally configure the field mappings to only map from a certain position of a field from your uploaded data.

Setting a non-zero start offset tells the system to ignore that number of characters from the start of the uploaded data for that field (for example, setting the start offset to 3 when uploading the data "ABCDEFGHIJ", the first three characters will be ignored so the data will be stored as "DEFGHIJ" instead).

Leaving the start offset set to zero for a field means that no characters will be ignored from the start of your data.

Combining use of a start offset and maximum length becomes very powerful since you can in effect map different parts of a single piece of uploaded data into several fields in the cloud. For example, your back-office system may not have enough fields for you to use to store the five family code values you can use in Sales Presenter. In this instance you could upload a single piece of data such as "123abc999xyz555" (stored in a single field in your system) and let the cloud split this into five separate values for you (for example, FamilyCode1 could be stored as "123" by using a start offset of 0 and a maximum length of 3, FamilyCode2 stored as "abc" by using a start offset of 3 and a maximum length of 3, FamilyCode3 stored as "999" by using a start offset of 6 and a maximum length of 3, FamilyCode4 stored as "xyz" by using a start offset of 9 and a maximum length of 3 and finally FamilyCode5 stored as "555" by using a start offset of 12 and a maximum length of 3).
 
Any changes you make on this screen will only take effect the next time you run the Process Files option.

Cloud Reports section

A "Data Check" report has been added. Users of the optional Cloud Reports module can use this new report to highlight potential issues within the data uploaded to your cloud account (such as family code setup) which may mean that Sales Presenter doesn't perform in the way you intended it to.

Account Settings section

You can now specify whether all orders are automatically put on hold when they reach the cloud account.

This can be useful if you want to control the downloading of orders to your back-office system. Held orders cannot be retrieved from your cloud account by your back-office system. You would need to manually take the order off hold (via the Release action in the Orders section) before it can be retrieved by your back-office system.

Orders section

A Release action will be shown against each order that is currently on hold within the cloud account. Use this action to take the order off hold, making it available to your back-office system (if downloading orders from the cloud).

File Mappings section

An Order Analysis Codes file can now be uploaded and mapped. The Import File Formats document in the Downloads section of this site will be updated shortly with information regarding this file.

Manage Image Files section

You can now filter the list to only show filenames that match a given criteria.

File wildcards (such as * and ?) can be used to give greater control over the filtering (e.g. searching for *.jpg would show only JPG image files, searching for *_* would show only filenames that contain an underscore symbol in them).

File Mappings section

When changing the delimiter setting, which determines the delimiter character being used in your data files, all existing files in your cloud account are now marked as "unprocessed", allowing the Process Files option to be run again.

A user can no longer initiate a Download from the Cloud process in Sales Presenter while the Process Files option is running against their cloud account. The user will receive the message "Your cloud data is currently being updated. Please try again later". It can take up to two minutes after the process has finished before it will allow the user to initiate a download.

This change doesn't affect downloads that are already in progress at the time the Process Files option is initiated.

Orders section

Existing functionality gives the ability to automatically place orders on hold that have been uploaded from Sales Presenter for new customer accounts (enabled via an setting in the Account Settings screen). This gives the user the chance to assign a real account code to the order that matches an account code in their back-office system, prior to allowing the order to be imported into their system.

Before considering whether to put an order on hold in this scenario, the system now checks to see if it has previously received an order from the same device using the same temporary account code. If an existing order was found then the real account code that the user assigned to that order prior to importing it into their back-office system is now also assigned to this new order and the order isn't placed on hold.

Home section

A Simple Setup option has been added to this screen. This option can be used to automatically set your file mappings and field mappings to match the template CSV files that can be found in the SalesPresenterCSVTemplates.zip file in the Downloads section of this site.

Any existing file mappings and field mappings will be deleted along with any upload data files. Images, movies and PDF files remain in your cloud storage area untouched.

The user is asked to type in a code (shown on the screen) before confirming that they wish to run the setup. This prevents the user from inadvertently running the setup.
